How to Switch Orthotics Labs: A Step-by-Step Guide for Clinics
Switching orthotics labs comes down to three steps: let your current lab finish its open orders, set your clinic up with the new lab, and place a first order on a straightforward case. With Orthix there's nothing physical to send for digital orders. Register your clinic, complete the online assessment, capture both feet on a phone or iPad, let the app generate a 3D model, and submit.
Switching labs? Your first pair is free
Clinics that move to Orthix get their first pair of custom orthotics free. Register your clinic, place your first order in the Orthix app, and see the fit and finish for yourself.
For clinics new to Orthix. One free pair per clinic, applied to your first order.
Step 1: Check where you stand with your current lab
Before your first order with a new lab, make a short list:
- Open orders and remakes. Let them finish with your current lab. You don't need to move work in progress.
- Your agreement. Check for notice periods, minimum volumes, account balances or credits.
- Equipment. If you lease or financed a scanner or casting kit through your current lab, check the terms before you stop using it.
- Prescription records. Make sure the prescriptions you rely on are in your own charts. If your current lab holds details you don't have, ask it for copies.
- Your most-ordered devices. List the device types, shells, posting and top covers you order most, so you can set them up the same way with the new lab.
- Patients due for a new pair. Note who's coming up for a reorder in the next few months.
Step 2: Set up your clinic with Orthix
- Register your clinic. Verify your practice once, with registration, email verification and business verification.
- Add your team and your clinic's shipping address.
- Book a short walkthrough if you'd like one. Most teams are comfortable placing their first digital order within one guided session.
What to send Orthix: for digital orders, nothing physical. Each order needs the online assessment and a capture of both feet in the app, and the app generates the 3D model. You can enter prescription details from your own charts in the online assessment. Foam impressions are accepted as a secondary option: contact the lab before you send them. If you'd like to talk about existing scan files from another system, contact the lab at +1 (604) 447-2880 or info@orthix.ca.
Step 3: Place your first order
Pick a straightforward case for your first order: a familiar device type and a patient you can reach easily.
- Complete the online assessment, including shoe type, device, posting, top cover and any additions.
- Capture both feet on a phone or iPad. The app guides positioning and lighting.
- Review the 3D model the app generates with your patient.
- Submit the order. It reaches the lab when you press submit.
- The lab reviews the order and accepts it. If something is missing, the lab will ask before accepting. Typical fabrication is 5–10 days after lab acceptance.
- Track the order in the app. Finished orthotics ship to your clinic, or Lower Mainland clinics can use pickup or courier.
Modifications are included at no extra cost. See orthotic modifications and additions.

- Status questions: check the order in the app instead of calling the lab.
- Consent: foot captures and 3D models are personal health information. Explain what you capture and why, and follow the privacy law and college rules that apply to your clinic.
Measure your first 20 orders
Log the date submitted, date accepted, date shipped, date received and any remake, then compare them with your old lab on the same basis. Our guide to orthotics lab turnaround time includes a worksheet, and the free orthotics lab comparison tool lines up labs on landed cost and service terms.
