Treatment Room Capacity Calculator

Weekly clinic capacity is limited by whichever is smaller: available room minutes or practitioner clinical minutes. Divide that figure by the session cycle (appointment length plus turnover time) and round down to estimate appointments per week. Treatment room utilization is completed visits divided by that capacity. Use it alongside your schedule, not instead of it.

Worked example

Hypothetical numbers only. They are not a benchmark or an Orthix price.

4 rooms, 50 opening hours per room, 5 hours of downtime per room, 150 practitioner clinical hours, 45-minute appointments, 5 minutes of turnover, 150 completed visits. The extra-hours scenario adds 20 clinical hours.

Room minutes 10,800. Staff minutes 9,000. Cycle 50 minutes. Capacity 180. Utilization 83.33%. Add one room: still 180, because practitioner time is the limit. Add 20 clinical hours: 204.

Method

How it's calculated

Room minutes = rooms × (opening hours − downtime) × 60.

Staff minutes = practitioner clinical hours × 60.

Session cycle = appointment minutes + turnover minutes.

Estimated capacity = the smaller of room minutes and staff minutes, divided by the cycle, rounded down.

Utilization = completed visits ÷ capacity, when capacity is above zero.

Add one room keeps the same practitioner hours. Add clinical hours keeps the same rooms.

What limits this clinic capacity calculator?
Whichever is smaller: room minutes after downtime, or practitioner clinical minutes. Capacity is that time divided by the appointment plus turnover, rounded down.
Why can adding a treatment room leave capacity unchanged?
If practitioner time is already the smaller limit, another room does not add appointments. The result labels that case as staff-limited.
What is treatment room utilization?
Completed visits divided by estimated capacity, when capacity is above zero. Visits above that capacity are flagged. The figure uses pooled hours, not a time-slot schedule.
Can appointment length be zero?
No. Appointment length must be greater than zero minutes. Downtime also cannot be longer than the opening hours you enter for each room.
