40 unfilled slots. Gross revenue missed $4,400.00. Contribution missed $3,640.00. Recovery scenario adds $1,650.00 gross and $1,590.00 contribution.
Method
How it's calculated
Unfilled slots = no-shows + late cancellations − refilled cancellation slots.
Potential gross revenue missed = unfilled slots × average collected fee.
Estimated contribution missed = unfilled slots × (fee − avoidable variable cost) − cancellation fees collected.
Recovery gross = recovered visits × fee.
Recovery contribution = recovered visits × (fee − avoidable variable cost). Cancellation fees are not subtracted again.

- How does this clinic no show calculator treat refilled slots?
- Unfilled slots are no-shows plus late cancellations, minus the cancellation slots you refilled. Refilled slots cannot be more than the late cancellations.
- Why are cancellation fees in contribution missed, but not in the recovery figure?
- Contribution missed subtracts cancellation fees you already collected. The recovery scenario is extra visits you might fill. It does not subtract those fees again.
- Is contribution missed a booked loss?
- No. It is an opportunity estimate from your fee and avoidable variable cost. It is not a booked accounting loss and it does not guarantee that a slot will be recovered.
- Will this tool reduce clinic cancellations for me?
- It shows the size of unfilled slots and a recovery scenario you enter. It does not set a cancellation policy or promise that a reminder system will recover visits.
